Privacy notice for trade shows, conferences and talks
This notice informs you, in accordance with Article 19 of the Swiss Federal Act on Data Protection (FADP), how Jaipur Robotics processes your personal data when you visit our booth or attend one of our talks and have your visitor badge scanned by a member of our team. It supplements our general Privacy Policy.
1. Controller
JAIPUR ROBOTICS SA, Via Cantonale 18, 6928 Manno, Switzerland (UID CHE-425.540.786), is responsible for the processing described in this notice.

2. Personal data we process and where it comes from
We do not collect this data from you directly: when your badge is scanned with the event organizer's lead management app, the organizer passes on to us the information you provided when registering for the event. Depending on your registration, this may include:
- Name, company, department and job title
- Business email address, telephone number and postal address
- Country, industry and areas of interest
- Date, time and place of the scan (e.g. booth or talk)
In addition, our staff may record notes about your conversation or inquiry.
Having your badge scanned is voluntary. If you prefer not to share your details, simply tell our staff. You may still attend the talk or visit the booth.
3. Purposes of processing
- Following up on your interest in our talk, products or services, and sending you information you requested
- Contacting you about potential business cooperation
- Evaluating the results of our event participation, in aggregate form
We will send you our newsletter or other marketing emails only if you have expressly agreed to receive them. You can withdraw that agreement at any time via the link in each email or by writing to us.
We do not sell your data and do not use it for purposes other than those listed above without informing you. We do not make automated individual decisions based on this data.
4. Recipients
Your data is accessible only to authorized Jaipur Robotics personnel and to service providers that process it on our behalf and are contractually bound to protect it, namely:
- Google (Google Workspace) – email, file storage and spreadsheets
- Notion Labs, Inc. – contact and lead management
- Mailchimp (The Rocket Science Group LLC, an Intuit company) – newsletters and marketing emails, only if you have agreed to receive them
- Our website hosting provider (Netherlands)
We may disclose data to authorities where required by law. The event organizer and its app provider process your registration data as separate controllers under their own privacy policies.
5. Disclosure abroad
Data collected at events outside Switzerland (for example in Japan) is transferred to Jaipur Robotics in Switzerland. Our service providers may process it in the following countries:
- United States (Notion; Mailchimp; Google)
- EU/EEA member states, including the Netherlands (website hosting; Google)
- Other countries where Google operates data centres
The EU/EEA member states are recognised by the Swiss Federal Council as providing an adequate level of data protection. For the United States and any other country without an adequate level of protection, our transfers are safeguarded by the standard contractual clauses recognised by the Federal Data Protection and Information Commissioner (FDPIC), included in our providers' data processing terms, and, where the provider is certified, by the Swiss-U.S. Data Privacy Framework, which the Federal Council has recognised as adequate.

6. Retention
We keep event contact data for up to two years after our last interaction with you. If a business relationship is established, data is kept for up to ten years in line with our general Privacy Policy and statutory retention obligations. Data used for marketing is kept until you withdraw your agreement. After these periods, data is deleted or anonymised.
7. Data security
We protect your data with appropriate technical and organisational measures against unauthorised access, loss and misuse.
8. Your rights
Under the FADP, you may at any time:
- Request information on whether and which of your personal data we process (right of access)
- Request correction of inaccurate data
- Request deletion of your data or object to its processing
- Withdraw any consent you have given, with effect for the future
- Request your data in a common electronic format (data portability), where applicable
To exercise these rights, write to privacy@jaipurrobotics.com. We may ask you to verify your identity. You may also report a concern to the Swiss Federal Data Protection and Information Commissioner (FDPIC, www.edoeb.admin.ch) and, for data collected in Japan, to Japan's Personal Information Protection Commission.

展示会・カンファレンス・講演における個人情報の取扱いについて
本通知は、スイス連邦データ保護法（FADP）第19条に基づき、当社ブースへのご来場または当社講演へのご参加に際し、当社スタッフが来場者バッジをスキャンした場合に、Jaipur Robotics がお客様の個人情報をどのように取り扱うかをご説明するものです。本通知は当社のプライバシーポリシーを補足するものです。
1. 個人情報取扱事業者

2. 取得する個人情報と取得元
当社は、これらの情報をお客様から直接取得するのではなく、主催者のリード管理アプリでバッジをスキャンした際に、お客様がイベント登録時に主催者へ提供された情報を主催者から受領します。登録内容に応じて、以下の情報が含まれる場合があります。
- 氏名、会社名、部署名、役職
- 会社のメールアドレス、電話番号、住所
- 国・地域、業種、関心分野
- スキャンの日時および場所（ブースまたは講演会場など）
また、お客様とのご面談内容やお問い合わせについて、当社スタッフがメモを記録する場合があります。
バッジのスキャンは任意です。情報の提供を希望されない場合は、当社スタッフにお申し付けください。スキャンを行わなくても、講演へのご参加やブースへのご来場は可能です。
3. 利用目的
- 当社講演・製品・サービスへのご関心に対するご連絡、およびご請求いただいた資料・情報の送付
- 商談・業務提携に関するご連絡
- 展示会出展成果の分析（統計的に処理した形で利用）
ニュースレターその他の広告宣伝メールは、お客様から明示的な同意をいただいた場合に限り送信します。同意は、各メールに記載のリンク、または当社へのご連絡により、いつでも撤回できます。
当社がお客様の個人情報を販売することはありません。上記以外の目的で利用する場合は事前にお知らせします。また、本情報に基づく自動化された個別の意思決定は行いません。
4. 提供先・委託先
お客様の個人情報にアクセスできるのは、権限を有する当社従業員、および契約により個人情報の保護を義務付けられた以下の委託先に限られます。
- Google（Google Workspace）– メール、ファイル保管、スプレッドシート
- Notion Labs, Inc. – 連絡先・見込み顧客情報の管理
- Mailchimp（The Rocket Science Group LLC、Intuit グループ）– ニュースレター・広告宣伝メール（同意をいただいた場合のみ）
- 当社ウェブサイトのホスティング事業者（オランダ）
法令に基づき求められた場合、当局へ開示することがあります。なお、イベント主催者およびそのアプリ提供事業者は、それぞれのプライバシーポリシーに基づき、独立した事業者として登録情報を取り扱います。
5. 外国への移転
スイス国外（日本など）のイベントで取得した個人情報は、スイスの当社へ移転されます。また、当社委託先により、以下の国で取り扱われる場合があります。
- 米国（Notion、Mailchimp、Google）
- EU/EEA 加盟国（オランダを含む。ウェブサイトのホスティング、Google）
- Google がデータセンターを運営するその他の国
EU/EEA 加盟国は、スイス連邦政府により十分な水準の個人情報保護を有する国として認められています。米国その他十分な保護水準を有しない国への移転については、委託先のデータ処理条件に含まれる、スイス連邦データ保護・情報コミッショナー（FDPIC）が承認した標準契約条項、および委託先が認証を受けている場合はスイス連邦政府が十分性を認めたスイス・米国データプライバシーフレームワークにより保護しています。
スイスには包括的な個人情報保護法（FADP）が存在し、独立した監督機関である FDPIC が監督しています。講じている保護措置の写しは、privacy@jaipurrobotics.com までご請求いただけます。
6. 保存期間
イベントで取得した連絡先情報は、最後のやり取りから最長 2 年間保存します。取引関係が成立した場合は、当社プライバシーポリシーおよび法定の保存義務に従い最長 10 年間保存します。広告宣伝目的の情報は、同意の撤回があるまで保存します。保存期間の経過後は、削除または匿名化します。
7. 安全管理措置
当社は、不正アクセス、漏えい、滅失、不正利用を防止するため、適切な技術的・組織的安全管理措置を講じています。
8. お客様の権利
お客様は、FADP に基づき、いつでも以下を請求することができます。
- 当社がお客様の個人情報を取り扱っているか否か、およびその内容の開示
- 不正確な情報の訂正
- 個人情報の削除、または取扱いへの異議（利用停止）
- 同意の撤回（将来に向けて効力を有します）
- 該当する場合、一般的な電子形式での個人情報の提供（データポータビリティ）
ご請求は privacy@jaipurrobotics.com までご連絡ください。ご本人確認をお願いする場合があります。また、スイスの FDPIC（www.edoeb.admin.ch）、または日本で取得された情報については日本の個人情報保護委員会に申し立てることができます。
